Membership Report

The Membership Report provides a detailed overview of membership purchases, renewals, expiry information, customer details, and transaction activity within your system. This report is useful for tracking active and expired members, reviewing membership sales, and exporting member data for operational or marketing purposes.

How to Generate the Membership Report

  1. Select your desired report parameters.
  2. Click Save and Generate Report.
  3. Once generated, you can use the report toolbar to:
    • Print the report
    • Export to PDF, Excel, CSV, and other formats
    • Refresh the report
    • Navigate between report pages

For reports containing multiple pages, use the directional arrows to:

  • Move forward or backward through pages
  • Jump to the first or last page

Important Notes

  • Customers who purchase memberships on behalf of someone else will not appear in the Membership Report. The report only displays the actual membership holder.
  • The Membership Report displays three separate tables. If the totals in Table 1 do not match Tables 2 and 3, this is usually because inactive customers are excluded from part of the report data. To correct this:
    1. Enable the Include Inactive Customers checkbox
    2. Regenerate the report

Quick Date Options

The following shortcuts are available for faster selection:

  • Today
  • Yesterday
  • Last Month
  • MTD (Month to Date)
  • YTD (Year to Date)
  • FY (Financial Year)

Module and Other Filters

Membership Filters

Show Inactive

Includes inactive memberships in the report results.

Filter by Expiry Date

Filters memberships based on their expiry dates.

Filter by Grace Period

Filters memberships currently within their configured grace period.

Sort Options

Choose how the report results should be ordered.

Available sort options include:

  • Transaction Date
  • Expiry Date
  • Renewal Date
  • Grace Period

Additional Filters

Show Orders Only

Displays completed orders only.

Show Reservations-Pay Later and Orders

Displays both completed orders and reservation/pay-later transactions.

Show Reservations-Pay Later Only

Displays only reservation/pay-later transactions.

Display Field Options

These options control which customer details are displayed in the report output.

Membership Status Options

Include Expired Members

Includes memberships that have already expired.

Include Inactive Members

Includes inactive members in the report output.

Customer Information Fields

Show Preferred Name

Displays the customer’s preferred name.

Show Email

Displays customer email addresses.

Show Mobile

Displays customer mobile phone numbers.

Show Home Phone

Displays customer home phone numbers.

Show Work Phone

Displays customer work phone numbers.

Show Billing Address

Displays customer billing addresses.

Show Mailing Address

Displays customer mailing addresses.

Show Birthdate

Displays customer birthdates.
